When in contact with Åland Living, we save your personal data. We need this information to be able to provide tips about jobs, housing, and other things that can make it easier for you who want to move to Åland. 

Privacy Policy

Åland Living is part of the Åland Employment and Study Service Authority (Ams). As the data controller, Åland Living takes responsibility for the personal information you provide us with. We handle your personal data in accordance with the provisions of the applicable Data Protection legislation.

To ensure you feel confident in our processing of personal data, this privacy policy describes how we collect, store, and manage your personal data. It also describes your rights and how you can exercise them.

It is important that you read and understand the privacy policy.

Scope of the privacy policy

This privacy policy applies to registered individuals whose personal data is received by Åland Living and thus processed by us. It also applies when using any of our systems, programs and/or services as well as our website and social media. 

The privacy policy also applies to you as an employee of Åland Living.

Ams as responsible for your personal data 

In this privacy policy, Åland Living is referred to, Business ID: 0145076-7.

Åland Living is the data controller and is therefore responsible for all personal data you provide in your contact with us.

Purpose of processing

Our primary purpose for processing your personal data is to fulfil commitments to you who have contacted Åland Living. 

When you register your interest in moving to Åland through our digital registration form at alandliving.ax, we store the information you fill in. We also store information about you who register as a university intern through Ams' website, www.ams.ax. 

We always process your personal data based on the legal grounds established under the General Data Protection Regulation and what is otherwise stipulated in Ålandic and Finnish legislation.

What data does the authority collect about you?

As the data controller, Living is responsible for ensuring that your personal data is processed securely and that the Regulation is followed.

In order for you to obtain a university internship placement, you need to submit your personal data.

Åland Living does not apply automated decision-making; all decisions are made manually by an official or competent body.

We may use your personal data to respond to your inquiries and send emails to you to inform you about our activities at the email address you have provided to us. You can at any time request not to receive emails from us.
Åland Living will process your personal identification number when it is clearly justified with regard to the purpose, necessary for secure identification, or if there is a notable reason. We always minimise the use of your personal data to the greatest extent possible.

How do we process your personal data?

Your personal data is only processed by staff within Åland Living who need it to handle university internship matters and to guide and communicate with prospective newcomers.

Åland Living's register stores the information about you that you yourself provided when you were registered, as well as any information that emerges at a later stage. Subsequent processing of your personal data will be handled according to the same purpose as when it was collected.

We are obliged to notify you if we wish to use the personal data in any way other than that for which it was collected. In some cases, we may ask you if we may use previously submitted personal data to simplify the handling of your case.

How is your personal data protected?

Åland Living takes seriously the trust you as a registered individual have placed in us. To protect personal data against unauthorised access, misuse, disclosure, or alteration, we take appropriate physical, technical, and administrative measures.

Physical security is designed to prevent unauthorised access to database equipment. Electronic security measures, such as firewalls, access restrictions, and encryption provide protection against data breaches and other unauthorised access.

Employees at Åland Living follow applicable information security regulations.

If Åland Living, despite the measures taken, were to experience a personal data breach, we will report the incident to the Data Inspectorate within 72 hours if we determine that the incident poses a risk to the potential rights and freedoms of the registered individual. The report is made in accordance with the reporting rules provided by the Data Inspectorate. In certain cases, we also contact affected individuals who have been impacted by the personal data breach.

With whom do we share your personal data?

Åland Living does not sell any customer information.

Your personal data is shared with the regional government's payroll unit for the payment of salary/university internship as well as Ams' income protection for registration of university internships. 

Where do we process your personal data?

Åland Living strives to ensure that personal data is always processed within the EU/EEA and that all our own IT systems are located within the EU/EEA.

How long do we store your personal data?

Åland Living stores your personal data for as long as is reasonably necessary to fulfil the purpose(s) for which it was collected and to comply with the Regulation or applicable laws.

As soon as the personal data is no longer necessary for the purposes for which it was collected or otherwise processed, it will be deleted.

Personal data submitted to Åland Living without being requested will not be saved, with certain exceptions such as unsolicited job applications.

When archiving personal data, archiving laws and other regulations are followed. Storage of personal data is determined in accordance with applicable laws and other regulations governing how data should be handled.

What rights do you have?
  • You have the right to check what personal data is stored with us.
  • You have the right to request a register extract where you can see what personal data exists about you in our registers.
  • You have the right to request in writing that corrections be made if you discover that we have inaccuracies registered about you.
  • You have the right to be deleted under the following circumstances.
    • The data is no longer needed for the purpose for which it was collected.
    • The data is stored with your consent and you withdraw the consent.
    • The processing is based on a balancing of interests and there are no legitimate reasons that outweigh your interest.
    • The personal data has been processed unlawfully.
    • The personal data must be deleted to fulfil a legal obligation to which we are subject.
  • The right to be deleted does not apply if Åland Living is legally obliged (e.g., by the Accounting Act) to retain the data. It may also be the case that processing is necessary for us to establish, exercise, or defend legal claims.
  • You have the right to request a restriction on processing, but this right is not unconditional and an assessment must be made in each individual case.
  • You have the right to object to the processing of personal data, and Åland Living will then cease the processing while the matter is being investigated.

Data Protection Officer

Åland Living engages the Data Protection Officer of the Government of Åland.

The Data Protection Officer's role is to verify that the data protection regulation is being followed by, for example, conducting audits and information campaigns.

The Data Inspectorate – If you have complaints

The Data Inspectorate is responsible for supervising the application of the Regulation.

If you consider that Åland Living has processed your personal data in a manner that violates the Regulation, you have the right to submit a complaint to the Data Inspectorate.

Any updated versions of the policy will be published on our website.
